Roles and permissions: owner, admin, view-only member#
Each person in a workspace has one of three roles. Team shows a short role guide.
- Member: view only. Members see the Dashboard, Agents, Runs and reports, proposed changes in WriteBacks, Schedules, Usage and Activity, and can use the support chat, suggest an agent, change their own profile and email settings, and leave the workspace. Members cannot run agents or change anything in the workspace.
- Admin: runs and configures everything: run agents, connect or reconnect HubSpot, approve and apply or reject WriteBacks, turn on automatic HubSpot updates, add and pause schedules, build custom agents, edit playbooks and AI context, invite teammates, remove members, revoke invites and manage billing in Settings → Billing.
- Owner: everything an admin can do, plus change or remove admins, transfer ownership and delete the workspace. The person who created the workspace is its owner.
When your role does not allow something, the button is disabled with "Only workspace admins can do this. Ask a workspace admin.", and some pages show "You have view-only access to this workspace. Ask a workspace admin to make changes."
Why can't I run an agent as a member?#
Members have view-only access: they can read every report, run and proposed change, but only owners and admins can start runs, because every run uses the workspace's shared credits and can propose HubSpot updates. The Run agent button is disabled for members with "Only workspace admins can do this. Ask a workspace admin." Ask an admin to run the agent for you, or ask the owner (or an admin) to make you an admin in Team.
How to invite a teammate#
Owners and admins open Team (or Settings → Team), type the teammate's email, choose the role Member or Admin and click Send invite. The teammate gets an email with a single-use invite link that expires after 7 days. Pending invites are listed under Pending invites with their role and expiry date until they are accepted.
How many teammates can I add?#
Plans are priced per workspace, not per seat: there is no per-teammate price, and every member uses the workspace's shared credits. Invite as many colleagues as need access.
Invite link expired or not working#
An invite link works once and expires after 7 days. The teammate must sign in with the same email address the invite was sent to; otherwise they see "Invite email does not match the signed-in user". If the link expired, was revoked or was already used, an admin sends a new invite from Team. If the email never arrived, check spam; when email could not be sent, Team shows the invite link so the admin can share it directly.
How to revoke or cancel an invite#
Owners and admins open Team, find the invite under Pending invites and click Revoke. The link stops working at once and Team confirms "Invite to … revoked. The link no longer works." Send a new invite if you revoked it by mistake.
How to remove a teammate from the workspace#
Owners and admins open Team (or Settings → Team), click Remove next to the person and confirm "Remove …?". The person loses access to this workspace right away. Admins can remove members; only the owner can remove an admin ("Only the workspace owner can remove an admin."). The owner cannot be removed (transfer ownership first), and to remove yourself use Leave workspace instead. Runs, approvals and activity history the person created stay in the workspace; their own notifications and support chats there are deleted.
Changing a teammate's role: make admin or demote an admin#
Owners and admins open Team and click Make admin next to a member. Only the owner can change an admin's role (Make member); an admin who tries sees "Only the workspace owner can change an admin's role." The owner role cannot be changed there; use Transfer ownership.
Transferring ownership#
The owner opens Settings → Account, clicks Transfer ownership and picks the new owner from the workspace's members. The previous owner becomes an admin. If nobody else is in the workspace, invite the new owner first. Owners cannot leave a workspace; they transfer ownership or delete it.
Several workspaces and switching between them#
One person can belong to several workspaces (for example after accepting invites from two companies). Switch with the workspace switcher in the top bar. Each workspace has its own HubSpot connection, plan, credits, runs and schedules, and your role can be different in each; nothing is shared between workspaces.
Credits used per teammate#
Team shows how many credits each member used this billing cycle and the credits used by schedules (not attributed to a person). Admins and owners see the full breakdown.
