We may collect technical information such as your IP address, browser type, operating system, and device information.
2.3. When using the Site, we may automatically collect information related to your use of the Site.
2.4. We collect only those personal data that are knowingly and voluntarily provided by you, as the subject of personal data, for the purpose of using the Site services, which, in accordance with the requirements of the current legislation of Ukraine, constitutes the consent of the subject of personal data to the processing of their personal data in accordance with the purpose of their processing formulated in this Policy.
2.5. We guarantee that we will not transfer your personal data to third parties or use it in any other unlawful manner, except in cases where disclosure of your personal data is necessary to comply with the requirements of the current legislation of Ukraine or international law.
2.6. 2.7. The Site collects confidential data, including for the purpose of identifying and resolving technical problems of the Site, to control the load on the Site, and to conduct statistical calculations of the effectiveness of advertising campaigns.
3. PROCESSING OF PERSONAL DATA
3.1. The processing of the User's personal data is carried out for the periods set out in section 5, by any lawful means, including in personal data information systems using automation tools or without the use of such tools.
3.2. The User agrees that Alignify has the right to transfer personal data to third parties solely for the purpose of fulfilling the User's order placed on the Site and providing services.
3.3. Alignify takes the necessary organizational and technical measures to protect the User's personal information from unauthorized or accidental access, destruction, distortion, blocking, copying, distribution, as well as from other unlawful actions of third parties.
4. PURPOSE OF USING PERSONAL DATA
4.1. We may use your personal information to:
administrate our Site and conducting business activities;
taking necessary actions related to compliance with the tax legislation of Ukraine;
providing the opportunity to purchase services or Products, a list of which is available on the Site;
sending you advertising, informational and other messages;
sending you notifications and messages by email, to your contact phone number or to a messenger;
sending you our newsletter, if you have subscribed to our newsletter. You can also let us know at any time if you no longer require our newsletter;
Alignify's activities and range of services or collaborations by email, to your contact phone number or messenger , which you can opt out of at any time;
Product emails fall into three groups. Account emails (sign-in and security, workspace invitations, credit and billing limits, a broken CRM connection, your welcome email) are necessary to provide the Product and are always sent. Activity emails (finished or failed agent runs, CRM updates waiting for your review, schedule changes) are sent by default and can be turned off with the "Unsubscribe" link in any such email or in Settings → Email notifications. Product updates and offers are sent only if you ticked the opt-in box (on the welcome screen after sign-up or in Settings); the box is never pre-ticked, we record when and where you gave consent, and you can withdraw it at any time with one click. Every email shows our postal address;
providing third parties with statistical information about our users (although third parties will not be able to identify any individual user from this information);
to handle inquiries and complaints made by or about you regarding our Site;
keeping our Site secure and preventing fraud;
verifying compliance with the terms governing the use of our Site (including monitoring private messages sent through our Site).
4.2. We will not, without your express consent, provide your personal information to any third party for their direct marketing or any other purposes, except as provided for by the current legislation of Ukraine.
4.3. We use reasonable security measures to protect your information from unauthorized access, use or disclosure. However, no security measures are perfect or impenetrable, and we cannot guarantee the complete security of your personal information.
4.4. Alignify collects information worldwide and may transfer, process and store your information outside of your country of residence where we or our third party service providers operate to provide you with access to the Product. Whenever Alignify transfers your information, Alignify always takes steps to protect it. By using our Product, you give the consent to such transfers.
5. PERIOD OF STORAGE OF PERSONAL DATA
5.1. Personal data is stored for no longer than is necessary for the purpose of their processing.
5.2. Account data (your name, email address, sign-in identity, email and analytics choices) is kept while your account exists and is deleted when you delete your account (see section 20).
5.3. Workspace data (settings, agent runs, schedules, the activity log and the HubSpot connection) is kept while the workspace exists and is deleted when its owner deletes the workspace (see section 20). Two kinds of workspace data are kept for a shorter time: the CRM data copied into an agent run (the records, contacts and activity it analysed) and the report it produced are removed 90 days after the run finishes, and notifications are deleted 90 days after they were created. After that the run itself stays as a record of what was run, when, with what result and how many credits it used, for usage and billing history.
5.4. Billing records (the subscription record, the history of subscription changes such as a cancellation and the reason chosen for it, and the history of credit purchases and usage) are kept after an account or workspace is deleted for as long as accounting and tax law requires. They contain no contact data beyond internal identifiers; a free-text comment left when cancelling is deleted together with the workspace.
5.5. Inactive accounts and unused workspaces. We do not keep accounts and workspaces that nobody uses. An account nobody has signed in to for 24 months is deleted, and a workspace in which HubSpot was never connected and no agent was ever run is deleted 12 months after it was created or after the last time one of its members signed in, whichever is later. Before that we send two emails, 30 days and 7 days before the deletion date, to the account's email address (for a workspace, to its owners). Signing in once is enough to keep your account or workspace; the countdown then starts again. Deletion works exactly as described in section 20 (billing records under section 5.4 are kept), and we never delete a workspace that has an active paid subscription or a workspace that other members still use.
5.6. Support conversations (the in-app Help chat) are kept while your account exists, and are deleted when you delete your account, when you leave the workspace you wrote from, or when that workspace is deleted. When a conversation is closed we email a copy of it to you and to our support inbox; if you asked to talk to a person, a copy may also be kept in our internal support ticketing system. Those copies are kept only as long as needed to handle your request and are deleted on request.
6. INTERACTION OF THE SITE WITH OTHER RESOURCES
6.1. When you use the services, the pages of the Site may contain codes of other Internet resources and third parties, as a result of which such Internet resources and third parties receive your data. These Internet resources may receive and process information that you have visited these pages, as well as other information transmitted by your browser. Such Internet resources may include (but are not limited to):
- banner display systems;
- social media plugins.
6.2. We do not store or process data received from the above services.
7. INTERACTION OF THE OWNER WITH THIRD PARTIES REGARDING PERSONAL DATA
7.1. We do not transfer personal data to third parties, except when such transfer is required by the current legislation of Ukraine, at the request of the subject of personal data, or in other cases set out in this Policy.
7.2. Access to your personal data may be provided to our authorized employees and/or contractors who have consented to ensuring the confidentiality of Users' personal data, as well as third parties who provide us with services for supporting and administering the Site, other services related to Alignify 's business activities. Our authorized employees and/or third parties, based on the agreements concluded with us, undertake to comply with all requirements of the current legislation of Ukraine regarding the protection of Users' personal data and their confidentiality.
8. PROTECTION OF PERSONAL DATA
8.1. Alignify uses generally accepted standards of technological and operational protection of information and personal data from loss, misuse, alteration or destruction, but does not guarantee absolute protection against any threats arising outside the scope of possible regulation.
9. CONDITIONS OF ACCESS TO PERSONAL DATA
9.1. You have the right to receive any information about yourself from any subject of relations related to personal data, provided that you indicate your surname, first name and patronymic, place of residence (place of stay), contact numbers for communication and details of a document identifying the individual submitting the request, except for cases established by the current legislation of Ukraine.
9.2. Access to personal data is free of charge.
9.3. Denial of access to personal data is allowed, in accordance with the procedure established by the current legislation of Ukraine, if access to them is prohibited in accordance with the Law of Ukraine "On Personal Data Protection".
9.4. The decision to deny access to personal data may be appealed to the relevant authorized bodies.
10. YOUR RIGHTS AS A USER (PERSONAL DATA SUBJECT)
10.1. The user (personal data subject) has the right:
to know about the sources of collection, location of personal data, purpose of processing, location of the owner or to give an appropriate instruction to obtain this information to authorized persons, except for cases established by the Law of Ukraine "On Personal Data Protection";
receive information about the conditions for providing access to personal data, in particular information about third parties to whom his personal data is transferred;
to access your personal data;

submit a reasoned request to the owner of the Site objecting to the processing of their personal data;
to submit a reasoned request for the change or destruction of their personal data by the owner of the Site, if this data is processed illegally or is inaccurate;
to protect your personal data from unlawful processing and accidental loss, destruction, damage due to intentional concealment, failure to provide or untimely provision of data, as well as to protect against the provision of information that is inaccurate or defamatory of your honor, dignity and business reputation;
to file complaints about the processing of their personal data with the Commissioner for Human Rights of Ukraine or to the court;
apply legal remedies in case of violation of the current legislation of Ukraine on the protection of personal data;
to make reservations regarding the restriction of the right to process their personal data when providing consent;
withdraw consent to the processing of personal data;
know the mechanism of automatic processing of personal data;
to protect against automated decision-making that has legal consequences for him/her.
11. DISCLOSURE OF PERSONAL DATA
11.1. We reserve the right to disclose your personal information:
- in cases where we are required to do so by applicable international legislation and the legislation of Ukraine;
- in connection with any current or future legal proceedings;
- to establish, exercise or defend our legal rights (including providing information to other parties to prevent fraud);
- to the buyer (or potential buyer) of any business or assets that we are selling (or intend to sell).
12. COOKIE FILES
12.1. The site may use cookies.
A cookie is a file containing an identifier (a string of letters and numbers) that a web server sends to a web browser and the browser stores. After that the identifier sends back to the server each time the browser requests a page from the server. Alignify uses “persistent” cookies – these are cookies that will be stored by the web browser and will remain valid until a set expiration date unless you delete them before the expiration date. Cookies do not typically contain any information that personally identifies you, but personal information we store about you may be linked to the information stored and retrieved from the cookies.
How we use cookies
To provide and improve our Product. We use cookies to enable core features of our Product, such as maintaining your logged-in status, remembering your settings and preferences, and ensuring the website functions properly. For example, cookies allow you to stay logged in as you navigate through different sections of our site and use the Product for its intended purpose.
To analyze usage and improve performance. Cookies help us understand how the User interacts with our services by providing information about which pages are visited, how long the User stays on each page, and any issues they encounter. This data is critical to improving the performance and usability of our Product.
To personalize your experience. Cookies allow Alignify to tailor our services and Product to your preferences and interests.
Types of cookies we use
Essential cookies: These cookies are essential for the basic operation of our services on the Website. They provide functions such as user authentication and maintaining session integrity.
System cookies. These cookies collect information about how you use our website, such as which pages you visit and whether you experience any errors. This information helps us improve the performance of the Website and enhance the user experience.
Functional cookies: These cookies remember your preferences and settings to provide a more personalized experience.
12.5. Google Analytics (product analytics, only with your consent). We use Google Analytics 4 to understand which features of the Product are used, so we can improve it. It is switched off by default: the Google Analytics script is not loaded and no analytics cookies are set unless you click "Allow analytics" in the cookie banner. You can withdraw or give consent at any time in Settings → Privacy (or by clearing your browser storage, which shows the banner again); withdrawing stops collection immediately and deletes the Google Analytics cookies from your browser. Legal basis: your consent (GDPR Art. 6(1)(a)).
What is sent: the pages you open (without URL query parameters), product actions such as connecting HubSpot, starting or completing an agent run, viewing a report, approving a proposed CRM update, inviting a teammate or buying credits, and technical details your browser sends to Google (browser, device, approximate location derived by Google from your IP address, which Google Analytics 4 does not store). To link your activity across devices we send a pseudonymous identifier — a one-way hash of your internal Alignify account id — never your name, email address, workspace name, or any CRM / HubSpot data. For users who allowed analytics we also send a small number of events from our servers (for example a completed purchase, a subscription start or cancellation, a finished agent run, a notification email sent) using the same pseudonymous identifier.
Cookies: `_ga` and `_ga_<id>` (Google Analytics, first-party, up to 2 years). Google Consent Mode is used with advertising storage, ad user data and ad personalization always denied; Google Signals and advertising features are disabled, and the data is not used for advertising. Analytics data is retained in Google Analytics for 14 months and then deleted automatically. On request (see section 19) we delete your analytics data from Google Analytics using the pseudonymous identifier.
12.6. Blocking all cookies may negatively affect the usability of the Site.
12.7. You can delete cookies that are already stored on your computer.
12.8. Most browsers give you the option to refuse the use of cookies, for example:
12.8.1. In Internet Explorer, you can block using the cookie management settings available in the “Tools,” “Internet Options,” “Privacy,” “Advanced” menu;
12.8.2. In Firefox, you can block all cookies by clicking "Tools" - "Options" - "Privacy": in the drop-down menu, select "Use custom log settings" and uncheck "Accept cookies from sites";
12.8.3. In Chrome, you can block all cookies by going to the "Settings and controls" menu, selecting "Settings" - "Show advanced settings" and "Content settings", and then selecting "Block sites from sending any data" under the "Cookies" heading.
13. OTHER TERMS
13.1. By placing an order for the provision of services on the Site, the User confirms that he has reached the appropriate age, which allows him to independently conclude contracts.
13.2. Alignify may request the User to provide additional documents or undergo additional procedures in order to verify that he/she has the right to independently consent to the processing of personal data. If Alignify has reasonable doubts about the User's age, Alignify may also contact his/her parents or guardians to obtain consent or approval for the processing of the User's personal data if he/she has not reached the appropriate age.
13.3. The current Policy complies with the requirements of the legislation of Ukraine on the protection of personal data and contains detailed information on the data collected, the purposes, methods of their collection, processing, use and protection.
13.4. Information for users from the European Union: the current Policy has been prepared to fulfill the obligations stipulated by the General Data Protection Regulation (EU Regulation No. 2016/679 of 27.04.2016 or GDPR - General Data Protection Regulation).
13.5. All suggestions or questions regarding this Privacy Policy should be reported via the contacts posted on the Website's web page or by sending a letter to the following e-mail address: s.kravchenko@alignifytech.com.
14. CHANGE OF POLICY
14.1. We reserve the right to change and/or supplement the content of the Policy at any time at our sole discretion. The new Privacy Policy shall enter into force from the moment of its posting on the Site, unless otherwise provided by the new version of the Privacy Policy.
15. SUB-PROCESSORS
We use the third-party providers below to operate the Product. They process personal data on our behalf, under contract, only as needed to provide the service. We maintain this list and update it when it changes.
- OpenAI (USA) — AI analysis of the CRM data you connect (primary AI provider).
- Anthropic (USA) — AI analysis of the CRM data you connect, used only as a backup when OpenAI is unavailable.
- Paddle.com Market Ltd (United Kingdom) — online payments; acts as our reseller and Merchant of Record and is the controller of the payment data it collects (billing name, email, billing address, payment method details, transaction data). Its handling of that data is described in Paddle's own privacy notice.
- Clerk (USA) — authentication and account identity (name, email, auth identifiers).
- Resend (USA) — transactional and notification email (email address, message content).
- Railway (USA) — hosting and infrastructure (data at rest and in transit).
- Sentry (USA) — error monitoring; diagnostic events are scrubbed of secrets and personal data.
- Google Analytics 4 — Google Ireland Limited (Ireland) for users in the EEA/UK, Google LLC (USA) — product usage analytics, **only if you click "Allow analytics"**; pseudonymous identifier, pages and product events, no name, email or CRM data (see section 12.5).
Connected CRM (your data source): when you connect HubSpot, you authorize us to read your CRM data via OAuth to run analyses. You remain the controller of that data, processed under your own agreement with HubSpot.
16. AI / AUTOMATED PROCESSING OF YOUR CRM DATA
The Product analyses the CRM records you connect (such as deals, contacts, companies and tickets) using artificial intelligence (large language models provided by OpenAI, with Anthropic as a backup provider when OpenAI is unavailable) to produce scores, risk assessments, summaries, categorisations and suggested next steps. The CRM data you connect may contain personal data of your contacts; for that data you are the controller and we act as your processor, processing it only to provide the analysis you request, on your instructions. AI outputs are suggestions for human review: we do not make automated decisions producing legal or similarly significant effects (GDPR Art. 22). Changes the Product proposes to your CRM ("write-backs", such as notes, tasks or field updates) are applied only with your authorisation: either you approve each change, or a workspace admin explicitly turns on automatic updates for a specific agent, which can be turned off at any time. We do not use your connected CRM data or AI prompts/outputs to train AI models.
The in-app Help chat is answered first by an AI support assistant. It sees your messages in that conversation, our help articles and a few facts about your own workspace (plan, credits, HubSpot connection status, the status of recent agent runs and the number of schedules) — never the contents of your CRM records or other customers' data. Its answers are suggestions; you can ask to talk to a person at any time. Your support messages are not used to train AI models.
17. CONTROLLER AND PROCESSOR ROLES
For account and billing data (your name, email, workspace, subscription) we are the controller. For connected CRM data (your HubSpot deals and contacts) you are the controller and we are the processor; we offer a Data Processing Agreement (DPA) on request.
18. INTERNATIONAL DATA TRANSFERS
Some sub-processors (e.g. OpenAI, Anthropic, and Google LLC for Google Analytics) and our infrastructure are located in the USA. Where we transfer personal data of EU/UK data subjects outside the EEA/UK, we rely on appropriate safeguards, including the EU Standard Contractual Clauses (SCCs) and equivalent UK provisions, incorporated via our and our sub-processors' data processing terms.
19. CONTACT
For privacy questions or to exercise your data rights, contact us at contact@alignifytech.com.
20. DELETING YOUR ACCOUNT OR WORKSPACE AND EXPORTING YOUR DATA
You can do all of this yourself in Settings → Account; it is free and takes effect immediately.
Export (data portability, GDPR Art. 20). "Prepare my data export" in Settings → Account prepares a machine-readable JSON file in the background (one request per hour); we notify you when it is ready and keep the file for 24 hours, after which it is deleted. It contains your profile, sign-in identity, email and analytics choices, your memberships and, for each workspace you belong to, what you can already see there: workspace settings, members, agent runs as we stored them, your notifications and the activity log, your support conversations, plus billing and credit history if you are an owner or admin. Secrets such as HubSpot access tokens are never included. Each list holds the newest 1,000 entries; contact us for a complete copy.
Leaving a workspace removes your access, your notifications and your support conversations in it. Your past actions in that workspace stay, linked to your account.
Deleting a workspace (owners only; a paid subscription must be cancelled first) permanently deletes everything in it for every member: agent runs with their stored CRM data, reports, settings, schedules, notifications, invitations and the activity log. We disconnect HubSpot and ask HubSpot to revoke our access. Only the billing records described in section 5.4 are kept.
Deleting your account (right to erasure, GDPR Art. 17) deletes your profile, sign-in identity, email and analytics choices, notifications, support conversations and pending invitations, and every workspace where you are the only member (as above). If you are the only owner of a workspace that other people use, you first need to transfer ownership or delete that workspace. In workspaces you shared with others, the workspace data stays for them, your name and email are removed from their activity log, and your past actions remain only under an internal identifier that no longer points to anyone. Only the billing records described in section 5.4 are kept. We send one confirmation email afterwards.
If deleted data is still contained in an encrypted database backup, it stays there until that backup expires (backups are kept for up to 14 days), and we never restore it from a backup except to recover from an incident. Analytics data held by Google Analytics is deleted on request as described in section 12.5.
