Running an agent#
Open Runs and click Run an agent, or open an agent in Agents and click Run agent. Pick the agent, pick the HubSpot record it should analyse (a deal, contact, company or ticket, depending on the agent; the picker searches HubSpot live), choose the depth and click Start. Some agents need extra input: Stale Deals asks for a "stale after" threshold, Deal Template Analysis uses a playbook. Only owners and admins can start runs; members can open every run and report but the Run agent button is disabled for them. The run appears in Runs; most finish within a minute or two and you can leave the page while it works.
Run depth: Light, Expert, Deep#
Most agents offer three depths. Light is a fast snapshot: recent deal facts and up to 10 recent activities, 1 credit. Expert is the recommended balance of evidence and recommendations: up to 30 activities, 2 credits. Deep is a thorough historical review: up to 60 activities, 4 credits. QBR Prep costs double; CRM Deal Health, Auditor and Dedup & Merge have no depth choice.
Which depth should I choose?#
Start with Expert; it is the default and fits most deals. Use Light to sweep many records quickly or when a record has little history. Use Deep for large, long or late-stage deals with many emails and meetings, where missing an old conversation matters. Scheduled and event-triggered runs always use Expert.
Run statuses#
A run is Queued while it waits to start, Running while the agent works, Succeeded when the report is ready and Failed when something went wrong. Failed runs never cost credits. If a run stays queued for more than 10 minutes, refresh the page; if it is still stuck, tell us in the support chat with the run link.
Reading a report#
Open the run from Runs to see its report. Reports show the agent's conclusions with the evidence from your HubSpot record, what could not be read (for example missing permissions), and the HubSpot updates the run proposed, with their status. Reports are snapshots: later changes in HubSpot do not change a finished report; run the agent again for a fresh view.
Can I run an agent on a list of deals or a whole pipeline?#
A manual run analyses one record (a CRM Deal Health or Dedup & Merge run scans a workspace sample). To analyse many records, put the agent on a schedule over a pipeline, stage or contact segment, or build a custom agent: with a segment source it analyses up to 25 records together in one report, and a record-based custom agent can be scheduled on records that match a filter (one run per record).
Who ran what: Runs and Activity#
Runs lists every run, newest first, with its agent and status; open a run to see its report and the credits it was charged. Activity is the workspace's audit trail: runs, WriteBack approvals and rejections, automatic updates, schedule and settings changes, HubSpot connection events, with who did them.
Can I delete a run or report?#
There is no delete button for a single run. The CRM data and report of every run are removed automatically 90 days after it finished, and deleting the workspace removes everything at once. If a report must be removed sooner, ask for a person in the support chat.
How long reports are kept#
The CRM data copied into a run and its report are removed 90 days after the run finished, to limit how long we hold your contacts' personal data. The run stays listed with its agent, date, status and credits. Notes and fields already written to HubSpot stay in HubSpot. Download your data in Settings → Account if you need a copy.
