Alignify for HubSpot: setup guide

How to install and connect Alignify Platform, what each agent does with your HubSpot data, how to disconnect or uninstall, and what happens to your data afterwards.

What Alignify does in HubSpot#

Alignify Platform runs AI agents on your HubSpot deals, contacts, companies and tickets. An agent reads the records it is run on, writes a report with findings and next steps, and proposes HubSpot updates such as a note, a task or a field change. Proposed updates wait for a person to approve them in Alignify. A workspace admin can let a trusted agent apply its notes, tasks and Alignify fields automatically; standard HubSpot fields and record links always wait for review.

Alignify never deletes HubSpot records, never sends emails or messages to your contacts, and never changes deal amount, stage, close date, pipeline, record owner or lifecycle stage.

Before you install#

  • A HubSpot account with the CRM records you want agents to work on.
  • A HubSpot user who can install apps in that account (usually a super admin).
  • An Alignify workspace. Sign up starts it on the Free plan; plans and prices are on Pricing.
  • An owner or admin of the workspace, who accepts the Data Processing Agreement for the company once.

Install and connect#

  1. Sign in to Alignify and open Integrations.
  2. The first time, accept the Data Processing Agreement: tick the three boxes and click Accept and continue.
  3. Click Connect HubSpot. HubSpot opens: choose the HubSpot account and approve the access Alignify asks for (listed under Data Alignify reads and writes).
  4. You come back to Integrations, which shows Connected. Alignify reads your pipelines, stages and properties once so agents know your setup.

If you start from the HubSpot App Marketplace, you are sent to Alignify to sign up or sign in first; then continue with step 1. A workspace connects to one HubSpot account. If HubSpot shows an error or you cancelled, click Connect HubSpot again.

Set up agents#

  • Open Agents, pick an agent and run it on a record, for example a deal or a ticket. The report opens when the run finishes.
  • Open Schedules to run an agent daily or weekly, or when a deal reaches a pipeline stage you choose. Scheduled runs use credits like manual runs.
  • Open WriteBacks to review the HubSpot updates an agent proposed: approve and apply, or reject. Applied field changes can be undone from WriteBacks.
  • Optional: WriteBacks, Automatic HubSpot updates lets an admin switch automatic updates on for one agent after approving at least one of its changes. It is off until you switch it on, and you can switch it off any time.

What each agent does with your data#

Each agent reads only what it needs for the record it runs on. None of them deletes HubSpot data. Every agent below can propose HubSpot updates, and each update waits for review unless an admin switched automatic updates on for that agent.

Custom agents you describe yourself read only the HubSpot objects and properties you select for them in the builder. If the HubSpot screen also lists optional permissions (for example line items, products, quotes, owners or custom objects), you may decline them; only custom agents that you set up to use that data need them.

Data Alignify reads and writes#

The HubSpot permissions (scopes) Alignify asks for, and what they are used for. Alignify reads records when an agent runs, not as a continuous copy of your CRM, and writes only the updates shown in WriteBacks.

Shared data
HubSpot dataAccessScopesHow Alignify uses it
ContactsRead and write
  • crm.objects.contacts.read
  • crm.objects.contacts.write
Read when an agent analyses a contact, deal, company or ticket. Written only for approved updates: notes, tasks, Alignify fields, approved field changes, and merges an admin approved in Dedup & Merge.
CompaniesRead and write
  • crm.objects.companies.read
  • crm.objects.companies.write
Read as context for deals, contacts and tickets and for QBR Prep. Written only for approved updates: notes, tasks, Alignify fields, record links and approved merges.
DealsRead and write
  • crm.objects.deals.read
  • crm.objects.deals.write
Read by the deal agents (risk, health, win and loss analysis, call prep). Written only for approved updates: notes, tasks, Alignify fields and approved field changes such as Next step.
TicketsRead and write
  • crm.objects.tickets.read
  • crm.objects.tickets.write
Read by Ticket Categorization and QBR Prep. Written only for approved updates: notes, tasks, Alignify fields, category or priority, and record links.
Calls, meetings, notes and tasks logged on recordsRead
  • crm.objects.contacts.read
Read as evidence for an analysis (call and meeting notes as logged; no recordings or transcripts). New notes and tasks are created through the record permissions above.
Logged one-to-one sales emailsRead
  • sales-email-read
Read as evidence by agents that analyse communication. Email bodies are shortened to excerpts. Alignify never sends email from HubSpot.
Properties, pipelines and stages (the schema)Read and write
  • crm.schemas.contacts.read
  • crm.schemas.companies.read
  • crm.schemas.deals.read
  • crm.schemas.tickets.read
  • crm.schemas.contacts.write
  • crm.schemas.companies.write
  • crm.schemas.deals.write
  • crm.schemas.tickets.write
Read so agents propose only valid values. Write is used only to create the "Alignify" property group and alignify_ properties the first time an approved update needs them. Your own properties are never renamed or deleted.
HubSpot accountRead
  • oauth
Required by HubSpot for every app: identifies the connected HubSpot account (portal id) and the permissions you granted.

How AI is used#

Agents use large language models to analyse the records you run them on. Only the data an agent needs is sent, with email bodies shortened to excerpts. Your HubSpot data is not used to train AI models. AI output is a suggestion for review: HubSpot changes are applied only after a person approves them, or for an agent an admin switched to automatic updates. Agents do not take free-form instructions to act in your HubSpot account. The AI providers and where data is processed are listed on Sub-processors.

Disconnect HubSpot#

An owner or admin opens Integrations in Alignify and clicks Disconnect. The confirmation lists what is removed. Alignify stops reading and writing HubSpot at once, scheduled agents stop, and HubSpot is asked to revoke Alignify's access.

Disconnecting deletes this workspace's copies of HubSpot data right away: the records copied into runs and their reports, the content of proposed HubSpot updates (pending ones are closed), all Dedup & Merge reviews and the cached HubSpot schema. Runs stay listed with agent, date, status and credits. You can reconnect any time from Integrations.

Uninstall the app in HubSpot#

In HubSpot, open Connected apps, choose Alignify and uninstall it. Alignify loses access to your HubSpot account at once. When Alignify notices (when HubSpot tells us, or at the next connection check, at most about an hour later), it pauses agents and schedules and sends the workspace owners and admins an email and an in-app notice. To use Alignify again, reconnect from Integrations.

Uninstalling does not by itself delete your Alignify workspace. The HubSpot data copied into reports and proposed updates is deleted no later than 90 days after it was copied. To delete it right away, disconnect in Alignify (see above) before you uninstall, or ask us at contact@alignifytech.com.

What happens to your data#

  • Anything Alignify already wrote to HubSpot (notes, tasks, field changes, alignify_ properties) stays in HubSpot. You can edit or delete it there.
  • CRM data copied into runs, proposed updates and Dedup & Merge reviews is removed 90 days after it was copied, or at once when you disconnect.
  • Your workspace, settings, schedules, custom agents and credits stay until you delete the workspace (Settings, Account, Delete workspace), which removes everything except billing records that the law requires us to keep.
  • Deleted data can stay in encrypted backups for up to 14 days.

Details are in the Privacy Policy and the Data Processing Agreement.
