How to export my data#
Open Settings → Account and click Prepare my data export. We prepare it in the background and tell you when it is ready (a notification, plus an email if activity emails are on); then click Download my data. For your security you may be asked to confirm it is you first. The download link works for 24 hours. You get a JSON file (compressed as .json.gz when it is large) with your profile, your email and analytics choices, your memberships, and for each workspace you belong to: its settings, members, agent runs as stored, the activity log, your notifications, your support conversations and agent suggestions, your product tour progress, and (for owners and admins) billing and credit history. Secrets such as HubSpot tokens are never included. Each list holds the newest 1,000 entries; ask us for a complete copy. You can request one export per hour.
How to delete my account#
Open Settings → Account and click Delete account, then type DELETE to confirm. This erases your profile, sign-in identity, notifications, support conversations and every workspace where you are the only member. If you are the only owner of a workspace other people use, transfer ownership or delete that workspace first. In shared workspaces the data stays for the others and your name is removed from their activity log. We send a confirmation email afterwards. Deletion cannot be undone.
How to delete a workspace#
Owners open Settings → Account and click Delete workspace, then type the workspace name to confirm. Everything in it is deleted for every member: runs, reports, settings, schedules, notifications, invitations, support conversations and the activity log; HubSpot is disconnected and our access revoked. A paid subscription must be cancelled first. Only billing records required by accounting law are kept. Notes, tasks and fields already written to HubSpot stay in HubSpot.
Leaving a workspace#
Members open Settings → Account and click Leave workspace. You lose access, and your notifications and support conversations in it are deleted; the workspace data stays for the other members. The owner cannot leave; they transfer ownership or delete the workspace instead.
How long do you keep my data?#
- Run data: the CRM data copied into a run (names, emails, activity excerpts) and its report are removed 90 days after the run finished; the run entry with agent, date, status and credits stays for billing.
- Notifications: deleted after 90 days.
- Account and workspace data: kept while the account or workspace exists, deleted when you delete it.
- Billing records: kept as long as accounting and tax law requires.
- Support conversations: kept while your account exists; deleted with your account, when you leave the workspace or when it is deleted.
- Backups: deleted data can stay in encrypted backups for up to 14 days.
Inactive accounts and workspaces#
An account nobody signs in to for 24 months is deleted. A workspace where HubSpot was never connected and no agent ever ran is deleted 12 months after it was created or after a member last signed in, whichever is later. We email twice before (30 and 7 days ahead). Signing in once is enough to keep it. A workspace with an active paid subscription or other active members is never deleted this way.
Can deleted data be restored?#
No. Deleting an account or workspace is immediate and permanent; we do not restore it from backups except to recover from an incident. Download your data first if you may need it.
